Seats and subscription

Your plan scales with the people in your organization

A Rize team plan is billed per seat. As you invite people your subscription updates automatically, and freeing a seat is a deliberate action — deactivating a member — so you always know what you are paying for. This guide covers how seats are added and charged, how to free them, and where to manage the subscription itself.

How seats work

A seat is one active person in your organization. Team plans are billed per seat, so your subscription tracks how many people currently have access.

  • Organization admins see seat and pending-invite summary cards at the top of the Members page — the quickest way to check how many seats are in use.
  • A pending invite counts toward your team just like an active member; the person holds a seat from the moment you invite them.
  • Freeing a seat is always an explicit action. Members keep their seat until you deactivate them, so seat count never changes silently.

Adding seats

You do not buy seats separately — inviting a member adds one.

Open the Members page

Organization admins open Members from the sidebar and click New Member.

Invite the person

Enter their email, assign them to a team, and set their team role. See Setting Up a Team for the full invite flow.

The subscription updates automatically

Rize adds the seat and charges it at a prorated rate for the remainder of the current billing period — so mid-cycle hires only cost the time they use.

Prorated, not full-period

New seats are charged prorated from the day you add them, and freeing a seat stops future charges for it. You are billed for the seats you actually have, not a fixed block you have to grow into.

Freeing a seat

To reduce your seat count, deactivate the member. Deactivation removes their access and frees the seat while preserving all of their history.

Deactivate the member

Open the member's edit sheet on the Members page and choose Deactivate. Their seat is freed, their team memberships are suspended, and every time entry, rate, and title is kept.

Reactivate later if they return

Reactivating restores the person's access and team memberships exactly as they were — and takes the seat back.

Removing from a team does not free a seat

Taking someone off a single team leaves them in your organization, so it does not change your seat count. Deactivation is what frees a seat. For an invited member who hasn't accepted yet, the action is Remove, which revokes the invitation and frees the seat. Rize never lets you deactivate the last organization admin. Managing the subscription

Your plan and payment details live in Settings > Account. From there an organization admin can update the subscription and, if needed, cancel it. Day-to-day seat changes happen through inviting and deactivating members — you rarely need to touch the subscription directly.

Seats vs. billing rates

Two different things in Rize both use the word "billing," so it is worth separating them:

Client billing rates

How you value the work your team tracks for clients — member or client hourly rates used for invoicing and profitability. Unrelated to your seat count.
